Account Group
The debtors need to be categorized within a group. There are can be several debtor categories e.g. Airlines, Credit Cards, Corporate etc. These are known as Account Groups that are required to be defined in this section of the screen.

Click the Add button on the top of the screen.

A unique id for the group is to be entered in the field of Account group. It can be up to 4 characters long.

Enter the description of the Account group.

Choose the type of account holder. Corporate or Individual.

Choose the type of Account. Permanent or Temporary/Short term.
Type of Account Holder and type of account, both are for information only.

The accounting method applicable is always – open item. The balance forward option is used by the application for the data purging process.
The purging process is carried out by a Prologic First personnel only on a request placed with the Support department.

Select the Invoicing Cycle of the account group by clicking on the appropriate option.

The maximum outstanding amount allowed for the account group can be defined. However, this is not a mandatory parameter.

The Debtor Account Code is the General Ledger account code for the Account Group. This should be defined only if the Hotel maintains a separate GL account for a Debtors Group in the Chart of Accounts.

The check box for – Should reminders be sent to Accounts in this Account Group, needs to be ticked if reminders need to be sent out for collection of payments.

Click the Save button on top of the screen to save the record into the database.

As the Account groups are created and stored into the database, the list of such groups will be displayed in the Account Group section of the screen.
