Statement of Account


The statement of account displays the exact status of a debtor at any given point of time. This can be viewed by selecting the option of Statement of Account from the main menu. The same can also be printed as a report from the Reports of Accounts Receivable screen.

 

 

The screen looks like:

 

 

To check the status of a debtor, enter the AR Account id in the AR Account field. The date range for which the display is required can be defined by entering the From and TO date. By default, these dates are the 1st of the financial year till the current business date.

Also, the system displays only the unsettled transactions by default. However, if you wish to see the settled transactions as well, then tick the option of Include settled.

Clicking the Search button will display the records matching the search criteria, in the lower half of the screen.

 

The information displayed in the grid section is:

Date

The transaction date. The date of the Credit or Debit Note.

Type

The transaction type, which can be PM/CN/DN/IN/FD.

Document

The unique transaction number generated by the system on saving the record to the database. For FD transactions, this is as what is generated by the Front Office PMS.

Particulars

The particulars as entered while recording the transaction.

Forex Amount

The amount in foreign currency, if the hotel transacts with the debtor in a foreign currency.

Amount

The amount of the transaction. This will display the original amount and not just the balance amount, in case of a settled transaction.

Forex outstanding

The outstanding (amount yet to settled) in foreign currency.

Outstanding

The outstanding (amount yet to settled) amount.

Dr/Cr

The debit/credit indicator of the transaction

Invoice Number

The invoice/bill number generated for the transaction.

Settlement

If there are any settlements against the record, then the column will display a View button, which when clicked will load another window. This will display the transactions that have been settled against the specific record.

Delink

This column changes to a button, to delink a settlement.

Traces

Click the small icon in this column to load another window, where traces for the transaction can be recorded.

On saving the traces, this column will display a tick symbol, indicating that there are traces recorded for the transaction.
